Which data may be processed?
In connection with enquiries, booking, arrival, stay and departure, contact and booking data, data about fellow travellers, payment and deposit data as well as communication and technical security data may be processed.
Why is data processed?
The data is needed to process enquiries, carry out bookings, organise arrival, process payments and deposits, calculate tourist tax where applicable, fulfil legal obligations and support the stay.
Direct bookings and platform bookings
For direct bookings via website, e-mail, phone or WhatsApp, Kuppenheim Apartment processes the necessary data itself. For platform bookings, the respective platform additionally processes data under its own responsibility.
Emails are sent through the hosting provider’s technical infrastructure. External payment providers receive data only if they are enabled and you select a corresponding payment method.
Guest portal and security
A protected guest portal with an individual token link may be provided for your booking. Depending on the enabled modules, arrival time, instructions, payment status or stay data are displayed and processed there. Arrival confirmations may record the time, IP address and browser/device identifier to prevent misuse. Administrative and security events are documented in an audit trail using a shortened IP address and a reduced browser class.
Foreign guests
For guests without German nationality, a special registration form may be required under sections 29 and 30 of the German Federal Registration Act. If the digital module is enabled, the number of a valid identity document may also be stored. The document is checked but not copied. Registration data is retained for one year from departure and then deleted under the applicable rule.
